BOOKING TERMS AND CONDITIONS

Last updated: 18 August 2026

These Booking Terms & Conditions apply to bookings and participation in trips, tours and activities operated by Coffs Canyons Pty Ltd trading as Coffs Canyons (“Coffs Canyons”, “we”, “us” or “our”).

Please read these terms carefully before booking.

By making a booking, you agree to these Booking Terms & Conditions.

Each participant will also be required to complete a participant declaration, medical information form and/or risk acknowledgement before participating.

1. Our activities

Coffs Canyons provides guided outdoor adventure experiences.

Depending on the trip, activities may include:

  • bushwalking

  • scrambling over rocks and uneven terrain

  • swimming and wading

  • travelling through rivers, creeks, waterfalls and canyon environments

  • abseiling

  • rope-based activities

  • optional jumps and slides

  • travelling through remote or difficult-to-access areas

  • four-wheel-drive or other vehicle transport.

The exact activities and conditions vary between trips.

2. Booking

A booking is confirmed once the required payment has been received and confirmation has been issued by Coffs Canyons or our booking provider.

The person making a group booking is responsible for providing accurate booking information and ensuring the other participants are made aware of these terms.

Each adult participant must complete any required participant declaration or waiver themselves.

A parent or legal guardian must complete required documentation for participants under 18 unless otherwise advised by us.

3. Prices and payment

All prices are shown in Australian dollars.

Unless stated otherwise, advertised prices include GST.

Any booking, payment-processing or other fee that applies to a transaction will be displayed during the booking process.

Full payment is required by the date specified during booking.

A booking may not be confirmed until payment has been received.

4. Customer cancellations

We understand that plans change.

Unless otherwise stated for a particular booking, our standard cancellation policy is:

More than 7 days before your trip

You may:

  • transfer your booking to another available date; or

  • receive a refund of the amount paid, less any non-refundable third-party transaction or booking fees we have actually incurred.

Between 48 hours and 7 days before your trip

You may choose between:

  • a 100% booking credit to use on another Coffs Canyons trip within 12 months; or

  • a 50% refund of the trip price.

Non-refundable third-party transaction or booking fees may be deducted.

Less than 48 hours before your trip

Cancellations made less than 48 hours before departure are normally non-refundable.

At our discretion, we may allow the booking to be transferred to another date where circumstances reasonably justify doing so.

No-shows and late arrivals

No refund will normally be provided if you:

  • fail to attend

  • arrive too late to safely join the trip

  • choose to leave after the trip has commenced.

Nothing in this cancellation policy limits any rights you have under the Australian Consumer Law.

5. Changes to participant numbers

Reductions in participant numbers are treated as cancellations for the participants who are no longer attending.

Additional participants are subject to availability and must be booked and paid for before participating.

6. Cancellations by Coffs Canyons

Outdoor activities are affected by weather, water levels, access conditions, fire, flooding and other factors outside our control.

Safety comes before completing a particular itinerary.

We may cancel, postpone or substantially change a trip because of:

  • unsafe water levels

  • severe or unsuitable weather

  • flooding

  • bushfire or fire danger

  • road or track closures

  • park or forest closures

  • unsafe environmental conditions

  • insufficient participant numbers

  • guide illness or unavailability

  • equipment or vehicle issues

  • emergency incidents

  • directions from land managers or government authorities

  • any other circumstance where we reasonably determine that proceeding would be unsafe or impracticable.

If we cancel your trip and cannot provide a reasonable alternative, you may choose between:

  • transferring to another available trip or date

  • receiving a booking credit; or

  • receiving a refund of the trip price paid to Coffs Canyons.

We recommend that participants have appropriate travel insurance because we are generally unable to cover incidental expenses such as accommodation, flights, vehicle hire or other travel arrangements, except where required by law.

7. Itinerary changes

Canyoning takes place in dynamic natural environments.

Conditions can change quickly and the itinerary described when you book cannot always be guaranteed.

Our guides may change:

  • the canyon or route

  • entry or exit points

  • individual obstacles

  • abseils

  • jumps or slides

  • meeting or finishing locations

  • trip duration

  • transport arrangements

where reasonably necessary for safety, environmental protection, access, participant ability or operational reasons.

Where possible, we will provide an experience of a reasonably comparable nature and value.

If we make a major change that materially alters the experience before departure and no reasonable alternative is available, we will offer an appropriate transfer, credit or refund.

8. Risk warning

Canyoning and related outdoor adventure activities involve inherent risks and can result in serious injury or death.

Risks may include, but are not limited to:

  • slips, trips and falls

  • falling from height

  • rockfall and falling objects

  • drowning

  • strong or changing water flows

  • entrapment in water

  • flash flooding

  • cold water and hypothermia

  • heat, dehydration or exposure

  • cuts, bruises, sprains and fractures

  • impacts with rocks or other objects

  • rope or equipment-related incidents

  • difficult or uneven terrain

  • wildlife, insects and vegetation

  • vehicle incidents

  • pre-existing medical conditions being aggravated

  • delayed access to medical assistance because of remote locations.

Natural environments cannot be completely controlled, and not all risks can be eliminated.

Participants must carefully consider whether they are willing and able to accept the risks involved before participating.

9. Participant acknowledgement and waiver

Participation is conditional on completing any participant declaration, medical declaration, risk acknowledgement or waiver required by Coffs Canyons.

To the maximum extent permitted by law, including applicable provisions relating to recreational services and recreational activities, participants acknowledge and voluntarily accept the inherent and obvious risks associated with the activity.

Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded, restricted or modified.

Any exclusion or limitation of liability relating to recreational services applies only to the extent permitted by applicable Australian and New South Wales law.

10. Guide authority and safety

The Trip Leader has final authority over operational and safety decisions during a trip.

Participants must follow reasonable instructions given by guides.

A guide may:

  • change the itinerary

  • require a participant to avoid a particular obstacle

  • require the use of an alternative technique

  • prevent a participant from completing a jump, slide, abseil or other activity

  • delay or terminate a trip

  • refuse or discontinue a person's participation

where the guide reasonably believes this is necessary for safety.

Decisions may take into account environmental conditions, water levels, participant behaviour, fitness, medical considerations, skill, fatigue, equipment or other relevant factors.

11. Fitness and swimming ability

Participants must satisfy any age, fitness, swimming, mobility or experience requirements stated for their chosen trip.

Canyoning can involve sustained physical activity over several hours.

Participants may be required to:

  • walk on steep and uneven ground

  • climb or scramble over rocks

  • swim in moving or deep water

  • move through waterfalls

  • carry personal equipment

  • tolerate cold-water exposure

  • ascend or descend steep terrain.

If you are unsure whether a trip is suitable for you, please contact us before booking.

12. Medical conditions

Participants must disclose any relevant medical condition, injury, allergy, medication or other circumstance that could reasonably affect their ability to participate safely or require assistance during an emergency.

This may include conditions affecting:

  • heart or cardiovascular health

  • breathing

  • mobility

  • balance

  • consciousness

  • severe allergies

  • blood sugar

  • mental or neurological health

  • previous injuries

  • pregnancy

  • reactions to cold or physical exertion.

Having a medical condition does not necessarily prevent participation.

Please contact us before booking if you are unsure.

Coffs Canyons may require further information or medical clearance where reasonably necessary to assess whether participation is appropriate.

13. Alcohol and drugs

Participants must not take part while affected by alcohol, illicit drugs or any substance that, in the reasonable opinion of a guide, impairs their ability to participate safely.

A participant who presents in an unsafe condition may be refused participation.

A refund will not be provided where participation is refused because the participant is intoxicated or impaired.

14. Equipment

Where stated as part of the trip, Coffs Canyons will provide technical equipment required for the activity.

Participants must:

  • use equipment as instructed

  • not intentionally misuse equipment

  • tell a guide immediately if equipment appears damaged or incorrectly fitted

  • return issued equipment at the end of the trip.

Participants may be required to pay the reasonable repair or replacement cost of equipment that is deliberately damaged, lost or damaged through negligent misuse.

Normal wear and tear is not the participant's responsibility.

15. Clothing and personal equipment

Participants are responsible for bringing any clothing, footwear, food, water, medication or personal equipment specified in the trip information.

If a participant arrives without essential equipment or clothing and we cannot reasonably rectify the issue, participation may be refused where proceeding would create an unacceptable safety risk.

16. Optional activities

Some trips may include optional jumps, slides or other obstacles.

Participants are not required to complete an optional challenge where a reasonable alternative is available.

Guides may prohibit a participant from completing an optional activity where they reasonably believe it would be unsafe.

17. Emergency assistance

By participating, you authorise Coffs Canyons and its guides to seek emergency medical, rescue or evacuation assistance where they reasonably consider it necessary.

Because our activities may occur in remote locations, emergency assistance may take considerable time to arrive.

Participants are responsible for third-party medical, ambulance, rescue or evacuation charges legally payable by them.

We strongly recommend appropriate ambulance, health and travel insurance.

18. Personal belongings

Participants are responsible for their personal belongings.

Water, impact and outdoor conditions can damage items including phones, cameras, watches, glasses and electronic devices.

To the extent permitted by law, Coffs Canyons is not responsible for loss of or damage to personal belongings unless caused by circumstances for which we are legally liable.

19. Photography

Photos and video may be taken during trips.

Any use of identifiable participant images for Coffs Canyons marketing will be managed in accordance with the participant's consent choices and our Privacy Policy.

Participants should tell their guide if their photography preferences change.

20. Behaviour

Participants must behave in a way that does not unreasonably endanger themselves, other participants, guides, members of the public or the environment.

We may refuse or terminate participation where a person:

  • repeatedly ignores safety instructions

  • behaves aggressively, abusively or dangerously

  • deliberately damages equipment or the environment

  • places other participants at unreasonable risk.

Depending on the circumstances, a refund may not be available where participation is terminated because of the participant's own behaviour.

21. Environmental responsibility

Participants must follow guide instructions relating to environmental protection, hygiene, wildlife and minimum-impact practices.

Coffs Canyons operates in sensitive natural environments and participants must not intentionally damage, remove or interfere with natural or cultural features.

22. Transport

Where transport is included in a trip, participants must follow reasonable instructions relating to vehicle safety.

Trip times are approximate and may be affected by road conditions, weather, access, traffic and operational circumstances.

Participants should avoid making tightly timed onward travel arrangements immediately after a trip.

23. Third-party bookings

If you book through a travel agent, accommodation provider, online travel agent or other third party, that provider's booking and cancellation conditions may also apply.

Where there is a conflict concerning payment or cancellation arrangements, the terms applicable to the particular booking channel may determine how the booking is administered, subject always to rights that cannot lawfully be excluded.

24. Gift vouchers and booking credits

Gift vouchers and booking credits:

  • must be used within any validity period shown when issued

  • are subject to trip availability

  • may not be redeemable for cash except where required by law.

Where a booking credit is issued following a cancellation, any additional conditions will be communicated at the time the credit is issued.

25. Australian Consumer Law

Our services come with rights and guarantees that may apply under the Australian Consumer Law.

Nothing in these Booking Terms & Conditions is intended to exclude, restrict or modify a right or remedy that cannot lawfully be excluded, restricted or modified.

Where the law permits liability in relation to recreational services to be excluded, restricted or modified, these terms and any participant waiver are intended to operate to the maximum extent permitted by law.

26. Liability

To the maximum extent permitted by law, Coffs Canyons limits or excludes liability for loss, damage, injury or expense arising from participation in our recreational activities where that liability may lawfully be limited or excluded.

This clause does not apply to liability that cannot lawfully be excluded or limited.

In particular, nothing in these terms is intended to exclude liability where Australian law prohibits us from doing so.

27. Severability

If a provision of these terms is found to be invalid or unenforceable, that provision will be read down or severed to the minimum extent necessary.

The remaining provisions will continue to apply.

28. Governing law

These Booking Terms & Conditions are governed by the laws of New South Wales, Australia.

The parties submit to the jurisdiction of the courts and tribunals of New South Wales and any courts competent to hear appeals from them.

29. Changes to these terms

We may update these terms from time to time.

The terms applying to a booking will generally be those in effect when the booking is made, except where a change is required by law or is agreed with you.
